Must Have HubSpot Automations for Small Sales Teams

Many of my clients who are running founder-led or bootstrapped sales motions using HubSpot want automations but don’t know where to start – I wanted to share a few of my favorites:

 

✅ Workflows that Save Time

  • Auto-reassign or unassign unqualified leads
  • Auto assign SDRs for opportunities they created or meetings they set
  • Auto remove unsubscribed leads from sales lists and lead ownership
  • Closed-Lost dead opportunities after a certain amount of inactivity time and set a task for the rep to add a closed-lost reason

 

🔥 Lead Scoring:

  • Prioritize leads based on email opens, website visits, conference attendance, and engagement—set a task to the sales rep as soon when it’s most likely to convert

 

 

📢 Slack Notifications

    • Push closed deals, meetings booked/held to Slack channels
    • Alert managers when reps hit important landmarks (ex. 100 calls for the day, etc – I recommend Plecto for this)

     

    🛠 Must-Have Tools:

    • Portant: Auto-send proposals & agreements out of Google Docs – seamlessly integrates with HubSpot
    • QuotaPath: Stop doing manual commissions – QP shows commission data inside HubSpot, allows reps to forecast earnings in real-time, and eliminates manual errors and discrepancies
    • Plecto: Gamify sales with completely customizable leaderboards & incentives (also amazing for auto-emailing important dashboards or KPIs to leadership execs)
    • Fathom Notetaker: Auto-transcribe & log meetings in HubSpot (I set up an automation where it pushes action items to my project management board)
